Herlan Life is an application designed to facilitate employee check-ins by verifying their presence at specific work locations and authenticating their identity through photo capture. The app requires access to your location and camera to function as intended.
- Information We Collect and Its Purpose
We collect the following types of information when you use the Herlan Life App. We are transparent about the necessity of this data for the app’s core functionality:
- Account Information: When you register for and use the App, we collect information such as your name, employee ID, email address, and other details provided by your employer or directly by you for account setup and management.
- Location Information (Precise GPS and Coarse Location):
- What we collect: Your precise GPS location data. If precise location is unavailable or not granted, we may collect coarse location.
- Why we collect it (Core Functionality): We require your precise location to verify that you are physically present within designated work locations. This is fundamental to the App’s primary purpose of allowing employees to accurately check in and out of their assigned workplaces. Without access to your location, you will be unable to perform check-ins or check-outs.
- When we collect it: Location data is collected only when the App is in active use in the foreground (i.e., when you have the App open on your screen and are performing a check-in/check-out action). We do not collect your location in the background.
- Permission: This requires the android.permission.ACCESS_FINE_LOCATION and android.permission.ACCESS_COARSE_LOCATION permissions.
- Camera Information (Photos for Identity Verification):
- What we collect: A photo captured by your device’s camera.
- Why we collect it (Core Functionality): We require access to your camera to allow you to capture a photo during the check-in/check-out process. This photo serves as an essential security measure for identity verification, ensuring that the person checking in is indeed the authorized employee and to prevent fraudulent check-ins.
- When we collect it: The camera is accessed only when you initiate the check-in/check-out process and specifically choose to capture a photo.
- Permission: This requires the android.permission.CAMERA permission.
- Phone Call Information (Optional, for employer-initiated calls):
- What we collect: We utilize the android.permission.CALL_PHONE permission.
- Why we collect it: This permission allows the app to initiate a phone call on your behalf directly from within the app, specifically for features that may enable you to quickly contact a designated contact person (e.g., your supervisor or a support line provided by your employer). The app does not read your call logs or make calls without your explicit initiation.
- Usage Data: We collect non-personal information about how you interact with the App, such as features used, check-in timestamps, and error reports. This helps us monitor app performance, identify issues, and make improvements.
- Device Information: We may collect technical information about your mobile device, such as the device model, operating system version, unique device identifiers, and mobile network information, to ensure app compatibility and optimize performance.
- How We Use Your Information
We use the information we collect solely for the following purposes:
- To Provide and Manage Core App Functionality: As detailed above, to enable location-based check-ins/check-outs and identity verification through photo capture.
- Account Management: To create, maintain, and manage your user account within the App.
- Communication: To send you necessary notifications related to your check-ins, app updates, or other service-related communications.
- App Improvement: To analyze usage patterns, troubleshoot technical issues, and enhance the overall user experience and performance of the App.
- Security and Fraud Prevention: To protect against unauthorized access, fraudulent check-ins, and other potentially malicious activities.
- Legal Compliance: To comply with applicable legal obligations and respond to lawful requests from governmental authorities.
- How Your Information is Shared
Your privacy is important to us. We share your information only in specific, necessary circumstances:
- With Your Employer: Your location data (specifically for check-in verification) and captured photos are directly shared with your employer or the organization that has subscribed to Herlan Life. This sharing is essential for their attendance management, identity verification, and operational purposes related to your employment.
- Service Providers: We may engage trusted third-party service providers to assist us in operating the App, such as for hosting, analytics, database management, and technical support. These providers are bound by strict confidentiality obligations and are only authorized to use your information as necessary to perform services on our behalf, in accordance with this Privacy Policy.
- Legal Compliance and Protection: We may disclose your information if required to do so by law or in response to valid legal processes (e.g., a court order, subpoena, or government request). We may also disclose information where we believe it is necessary to investigate, prevent, or take action regarding potential violations of our policies, suspected fraud, situations involving potential threats to the safety of any person, or as evidence in litigation.

Please note that disabling location services will prevent you from using the check-in/check-out functionality, as precise location is a core requirement for verifying your presence at work locations.
- Camera Permissions: You can enable or disable camera access for the Herlan Life App through your device’s settings. Disabling camera access will prevent you from capturing photos for identity verification, which is required for secure check-ins/check-outs.
- Call Phone Permissions: You can manage this permission through your device settings. Disabling it may limit your ability to use in-app calling features (if any).
- Access and Correction: To the extent required by applicable data protection laws, you may have the right to access, update, or correct inaccuracies in your personal information held by us. Please contact your employer or our support team if you wish to exercise these rights.
- Data Security
We implement robust technical and organizational security measures designed to protect your personal information from unauthorized access, accidental loss, disclosure, alteration, or destruction. These measures include encryption, access controls, and secure server environments. However, no method of transmission over the internet or electronic storage is 100% secure, and we cannot guarantee absolute security.
- Children’s Privacy
Herlan Life is intended for use by adult employees as part of their employment. It is not directed to individuals under the age of 18. We do not knowingly collect personal information from children under 18. If we become aware that we have inadvertently collected personal information from a child under 18, we will take immediate steps to delete such information from our records.

We may update this Privacy Policy from time to time to reflect changes in our practices or for other operational, legal, or regulatory reasons.
